Job Summary

Are you ready to join our talented, dynamic, student-centered team and make an impact? Are you passionate about student success? We are excited to be hiring for a Student Services Specialist role. The Student Services Specialist position provides one-stop student support services for the college in the areas of admissions, records, and registration. The person in this role will serve a variety of students, staff, faculty, and community members in all areas of enrollment.

Work Location: Central City Campus - 1245 East Buckeye Road Phoenix, AZ 85034

Essential Functions

40% - Assist credit, non-credit, and clock-hour new and continuing students in person, over the phone, and via email with all enrollment services functions and processes, including, but not limited to, admissions, placement testing, registration, academic advisement, community education, and financial aid; review and determine residency; process lawful presence and ID authentication documentation; student ID card processing, tracking, and follow-up; MEID/password reactivation process; and scan and record documents in Laserfiche, Ul8, and Special Admissions applications.

20% - Provide support to the call center and serve in primary front counter/welcome desk functions, delivering a high level of customer service and triaging student needs using multiple systems and software programs. Assist all visitors, college employees, and students with general questions, directions, and campus events.

15% - Process and evaluate transcripts; determine equivalencies of transfer credit; respond to enrollment verification requests, program plan changes, and class permissions; respond to emails and online requests; and process documents/requests using Dynamic Forms.

15% - Assist with special enrollment for Dual Enrollment, ACE, Gecko GEAR UP, GateWay Early College High School, etc. Answer incoming calls and chats; maintain and update information in CRM/Customer Relationship Management systems.

10% - Monitor reports related to enrollment to ensure compliance with district and government requirements. Perform other duties as assigned.

Minimum Qualifications

Associate's Degree from a regionally accredited institution, and one (1) year full-time of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, customer service, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Experience working in a One-Stop Enrollment Services and/or Admissions & Records Office.
B. One (1) or more years' experience working with software applications such as Peoplesoft (Student Information System), Dynamic Forms, Microsoft Office, Google forms/Google Suite, phone systems, etc.
C. Experience working in a fast-paced, high volume, multi-tasking and/or team-oriented environment.
D. One (1) or more years' experience providing customer service in a professional business setting (i.e. in person, over the phone, text or via email).
E. Experience working with state or federal regulations, policies, and/or procedures as it relates to student services in a higher education setting.
F. 1 year full-time relevant MCCCD experience during the previous two years (internal candidates ONLY)

Special Working Conditions

  • May be required to travel or be assigned to all GateWay locations
  • May require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to #25 lbs
  • MCCCD does not sponsor individuals for any type of work visas
