Summary:
Performs a variety of administrative functions in support of a program or an administrative official in carrying out departmental financial and operating procedures and/or a program's administrative activities.

Responsibilities:

  1. Collaborate with the supervisor in the development and management of scheduling utilization, ensuring efficiency in appointment scheduling.
  2. Assist in establishing and monitoring fiscal goals and objectives to support departmental financial performance and resource optimization.
  3. Enhance patient access by maintaining efficient scheduling workflows, minimizing wait times, and ensuring timely appointment availability.
  4. Greet and assist all patients in a professional and courteous manner via incoming and outgoing phone calls.
  5. Schedule patient appointments from calls, referrals, and electronic requests, ensuring accuracy and efficiency.
  6. Maintain referral work queues according to department guidelines, ensuring timely processing, appropriate follow-up, and accurate documentation.
  7. Mail required documents to patients promptly and accurately.
  8. Review and respond to emails in a timely manner, ensuring clear and effective communication with patients, staff, and providers.
  9. Participate in department quality improvement activities and staff meetings to support workflow enhancements and team objectives.
  10. Collaborate and communicate effectively with team members to problem-solve and contribute to department success.
  11. Assist with special projects or other duties as assigned to support the department's mission and patient care.

Education Requirements:
* High School diploma or GED
Licensure/Certification Requirements:
* No licensure or certification required.
Professional Experience Requirements:
* Three (3) years of clerical or administrative experience.
* If Bachelor's degree, one (1) year ofclerical or administrative experience.
* If Associate's degree, two (2)years of clerical or administrative experience.
Knowledge/Skills/and Abilities Requirements:

  • Excellent verbal and written communication skills, with a professional and courteous manner in all interactions.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Demonstrate proficiency with computer systems, including Microsoft Office Suite (Word, Excel, Outlook), and the ability to quickly learn new scheduling and electronic health record systems.
  • Ability to work both independently and collaboratively as part of a team.
  • Customer service orientation, with the ability to address patient and team needs promptly and efficiently.
  • Strong problem-solving skills and the ability to adapt to changing priorities and department needs.
  • Commitment to maintaining patient confidentiality and complying with HIPAA and other relevant policies.
  • Willingness to participate in ongoing quality improvement activities and training as needed.
