| Position Summary |
Winston-Salem State University is seeking an Administrative Support Associate to support the Department of Mathematics and the Department of Liberal Studies. The Department of Mathematics is a dynamic group of students, faculty, and staff dedicated to learning, teaching, and advancing mathematics. The Department believes strongly in the individual worth of every student, thus the first priority of the faculty is to deliver high quality instruction to the students, in every course, every day in a student centered environment. The primary function of the Department of Liberal Studies is to provide students with a solid multidisciplinary preparation in the Humanities, Natural Sciences, Social Sciences, and the Arts, subsequently allowing them to pursue careers in education, business, government, and other such fields.
Responsibilities of the Administrative Support Associate include:
- Serve as the primary point of contact for the Department of Mathematics and the Department of Liberal Studies
- Respond to inquiries and provide guidance regarding departmental and university procedures via phone call and in-person
- Compose letters, memos, newsletters, event flyers, reports, and other professional correspondence
- Respond to inquiries from prospective students and provide current program information.
- Provide administrative support to the department (faculty, students, staff, and visitors).
- Maintain the chairs' calendars, schedule appointments, and locate and assemble information for various reports and meetings.
- Coordinate logistics for departmental meetings, student engagement activities, and other activities as needed.
- Handle incoming and outgoing mail and packages, order office supplies, and run departmental errands as needed.
- Assist with faculty onboarding and support departmental hiring processes
- Assist with the department's online presence, including social media and website updates.
- Assist with the preparation of course schedules.
- Provide academic advising support to undergraduate students to assist with registration, which includes communicating with and referring students to various university offices (e.g., registrar, tutoring, etc.).
- Assist with transitioning current and prospective students into the academic departments
- Collaborate with faculty on student recruitment and retention efforts
- Maintain accurate student and faculty records.
- Ensure compliance with university record retention policies.
- Assist with documentation for assessment, accreditation, annual evaluations, and other university reporting requirements.
- Process departmental purchasing, procurement, and vendor payments.
- Manage departmental P-Card transactions and reconciliations.
- Monitor departmental budgets and reconcile Banner financial reports.
- Process travel authorizations and reimbursements.
- Coordinate contracts, service agreements, and equipment purchases while ensuring compliance with university policies.
