JOB DESCRIPTION:
Occupational Summary:
The person in this position shall work under limited supervision, and on their own initiative. This person shall perform standard and advanced administrative duties to assist managerial, technical and professional staff, and other personnel within the area of assignment.
Specifically, this person shall perform comprehensive administrative, operational, and compliance support for the Facilities, Maintenance, Environmental Health & Safety (EHS), and Capital Projects functions. This position serves as a key liaison between Facility personnel, vendors, finance, leadership, and external service providers to ensure efficient facility operations, regulatory compliance, accurate recordkeeping, and effective communication across the organization. This person will report to the Facility Manager
Duties and Responsibilities:


  • Computer maintenance management system (CMMS) Administration
  • Purchasing, Procurement & Vendor Coordination
  • Capital Projects & Financial Administration
  • Environmental Health & Safety (EHS) Support
  • Communication & Reporting
  • Security & Facility Administration
  • Records Management & Documentation
  • Employee & Departmental Support
  • Other duties and special projects as required



Job Skills:


  • High School diploma required
  • 2 years of post secondary education in Business Administration preferred
  • Minimum of 3 years in office administration / Customer Service
  • Strong organizational and multitasking skills.
  • Knowledge of maintenance management systems (CMMS)
  • Experience with purchasing, invoicing, and records management.
  • Understanding of EHS documentation and compliance requirements.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams/Zoom.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail, follow-through, and accuracy in recordkeeping.
  • Ability to work independently while supporting multiple departments and stakeholders.
  • Experienced in handling pressure in a fast-paced environment.
  • Note-taking, meeting scribing and preparing meeting minutes
