The College of Chemistry is comprised of:

The Department of Chemistry
The Department of Chemical and Biomolecular Engineering

Both disciplines provide the opportunity and means for addressing major scientific and technological challenges, such as climate change, increasing the world's food supply, synthesizing new materials, and discovering and delivering important drugs. The College Relations and Development team within the College of Chemistry is responsible for supporting the research and educational priorities through private philanthropic support and bespoke engagement opportunities.

Position Summary

The Events & Stewardship Specialist assists in the execution and coordination of donor programming and stewardship activities in the College of Chemistry. This position coordinates event logistics, communication needs, and reporting functions.

Responsibilities

Event Coordination - 40%

  • Participate in event planning, including but not limited to timing, agenda planning, registration, transportation and parking, travel and hospitality and payment to vendors.
  • Provide on-site and day of support, determines and coordinates staffing needs.
  • Create and produce marketing material for including event descriptions, social media content, invitations, web copy, one-pagers, and slide presentations, ensuring materials align with College of Chemistry's brand standards and priorities.
  • Assists Director of College Relations with development and implementation of event budgets.
  • Ensure events adhere to University health, safety, and accessibility (ADA) protocols.
  • Ensures smooth-running, including successfully recognizing and resolving potential problems in a timely manner using tact, sensitivity, discretion and political acumen.
  • Ensure that events are executed within the allotted budget and meet deadlines. Work with CR&D Development Associate to track, report and reconcile expenses.
  • Conduct post-event analysis through debrief meetings and surveys.
  • Monitor registration trends and manage guest lists.
  • Maintain and audit historical event data to identify trends and inform future event strategy.
  • Data entry for event attendance and post-event engagement metrics in Salesforce/CADS.

Donor Relations - 30%

  • Send correspondence to acknowledge donors and stewards for their financial support to the College by drafting letters, emails, and an annual report.
  • Collaborate with University Development & Alumni Relations on gift acknowledgment letters, student scholarship/fellowship and faculty chair endowment reports. Initiate and support other donor stewardship activities and events.
  • Contribute to improve and develop processes that support the donor experiences.
  • Support the College Relations & Development's programs through the creation of data files and analyses. Collaborate with University Development & Alumni Relations on the integrity and usability of our data and database through the university's CRM.
  • Ensure gifts and funds are administered securely and properly according to philanthropic best practices, campus policies, and laws. Collaborate with University Development & Alumni Relations and College of Chemistry Finance on gift and fund administrative needs.
  • Analyze Prospector Reports to identify and prioritize high-potential donors for event invitations.
  • Audit event-related data for accuracy, ensuring data is maintained for reporting purposes.
  • Utilize design tools and templates to create visually engaging donor centric materials, such as event invitations, thank you messages, and briefings, to support bespoke engagement opportunities.
  • Support for collaborative regional alumni programming; supporting strategic program development to engage alumni and donors.

Volunteer Engagement & Management - 25%

  • Assist with the engagement of the Advisory Board and other volunteer leaders, including developing materials, drafting briefings, and coordinating logistics for meetings.
  • Maintain records related to donor and volunteer programs, advisory boards, and a historical record of materials and collateral to inform future use and progression.
  • Assist in preparing for donor and volunteer program events including meetings and events with a special focus on the leadership donor experience.
  • Support for creation/management of alumni e-newsletters and broader alumni web presence.

Professional Development - 5%

  • Engage in campus wide professional organizations, such as the University Development and Alumni Relations (UDAR) community, to share best practices and stay current on Berkeley specific processes and protocols for event management and alumni/ donor relations.
  • Participate in CRM training and data management workshops to enhance reporting efficiency and technical proficiency.
  • Attend workshops and external seminars focused on emerging trends in event management, technology, alumni/ donor stewardship and inclusive engagement strategies.
  • Identify and pursue opportunities for skill building in project management and strategic communication to support the evolving needs of the College Relations and Development team.

Required Qualifications

  • Knowledge of fundraising, donor relations, and public relations concepts, principles, procedures, and techniques.
  • Enthusiastic about events, and unique and memorable customer experiences.
  • Flexible work schedule permitted with supervisor approval.
  • Skill in effectively meeting budget and time constraints.
  • Systems thinking and problems solving within systems to maximize efficiency and outreach.
  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the College of Chemistry and campus; that is, for fundraising events, skills to provide excellent donor stewardship.
  • Demonstrate ability to communicate clearly and succinctly, both in verbal and written communications.
  • Proven ability to document systems and maintain archives of reusable templates and copy, demonstrating a future planning approach to institutional memory and workflow organization.
  • Hospitality minded, reflecting a high-touch donor experience.

Education / Training

  • Bachelor's degree in related area and / or equivalent experience / training

This range takes into account the wide range of factors that are considered in making compensation decisions, including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted hourly range that the University reasonably expects to pay for this position is $32.57 - $35.92.

  • This is a non-exempt, bi-weekly paid position.
  • This is a full-time (40 hours/week) Career position eligible for UC benefits.

  • This position is eligible for up to 2 days/week remote work within the United States. Exact arrangements are determined in partnership with your supervisor to meet role responsibilities and department needs and are subject to change.

  • This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
