Admissions and Records Office Assistant

Hourly Rate: $15.13

The Part-Time Admissions and Records Office Assistant is responsible for providing assistance to the admissions advisors in the office of Admissions and Records. Responsibilities include the following: clerical duties, working with and protecting confidential information, assisting with calling campaigns, responding to emails in the Admissions inbox, coordinating group tours of Parkland College, securing rooms for groups that visit Parkland College, importing information into SLATE.

Essential Job
Functions

  • Correspond with prospective and admitted students via calling campaigns and emails
  • Provide guided tours to prospective students
  • Willingness to learn the enrollment process and interest in working with prospective and admitted students
  • Complete student enrollment requests, including but not limited to processing admissions applications, registering/withdrawing students, and processing other forms that are submitted to the office of Admissions and Records
  • Answer inquiries about admission and enrollment in Parkland College programs in person, by email and on the phone.
  • Prepare and send letters to prospective and new students
  • Providing efficient front line customer services for office walk-ins
  • Complete clerical needs such as copying documents, answering the phone, scheduling rooms in 25 Live, data entry into SLATE, corresponding with groups interested in visiting campus
  • Assist admissions staff with logistics for campus events
  • Other duties as assigned

Minimum Requirements:

  • Two years of professional office experience
  • High School Diploma or GED Equivalent
  • Ability to use Microsoft office applications especially Word, Outlook and Excel
  • Ability to handle confidential material judiciously
  • Ability to operate standard office equipment including a personal computer, multi-line telephone, scanner and copy machine
  • Possess excellent customer service skills, including exercising patience
  • Ability to work with diverse populations of students
  • Must be organized and pay attention to detail
  • Ability
    to maintain positive working relationships with all employees
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
