SUMMARY: The Clerical/Administrative Assistant will support the Defense Health Agency (DHA). Provide support to the Office Chief on Specific tasks include but are not limited to: Professional Services-Contracting Division (PS-CD), Managed CareContracting Division (MC-CD), Enterprise Medical Services-Contracting Division (EMS-CD), Defense Health Military System- Contracting Division (DHMS-CD), Procurement Operations Division (POD), and ESO.

DHA is responsible for the effective execution and operation of the Department of Defense (DoD) medical mission, which is to provide medical services and support to specified categories of individuals entitled to DoD medical care.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position.

  • Provide subject matter expertise on all matters pertaining to the business rules that guide staffing practices/procedures and provide general rules and guidelines for business functions.
  • Review work products for correctness and adherence to DHA's standards, policies and procedures.
  • Prepare briefings, talking papers and bullet background papers for presentation to senior executive level officials in the military and civilian service. Ensure correctness and adherence to DoD's and DHA's standards, policies, and procedures.
  • Prepare responses to Congressional inquiries. Ensure correctness and adherence to DoD's and DHA's standards, policies, and procedures.
  • Provide administrative support including typing, filing distribution of reports, data entry, and preparation of presentations, meeting scheduling and other administrative duties.


NON-ESSENTIAL DUTIES: Perform other duties as assigned

EDUCATION AND EXPERIENCE:

  • High School Diploma/GED desired


Requirements:

  • WPAFB (Acquisition function):

    • Minimum 3 years experience - Knowledge or understanding in an office administrative capacity the use of computer software such as Microsoft Office applications (ex: Word, Excel, and Access) and the ability to prepare and submit documents in appropriate Air Force format.


  • Contracting Divisions/ESO:

    • Provide general-purpose administrative and clerical support for project tasks. Excellent organization and communications skills; technical typing; data entry; filing; scheduling appointments; arranging travel itineraries; maintaining visitor control; and answering telephones. Microsoft Office experience is required.
    • Minimum 3 years experience - Knowledge or understanding of ETMS2 or similar task management system and records management


  • Excellent written and oral communication skills


COMPUTER SKILLS:

  • Skill in operating a personal computer and standard office equipment
  • Proficient in the use of the Microsoft suite of applications including Word, Excel, PowerPoint, Outlook, and Project as well as with Adobe Acrobat.


CERTIFICATES, LICENSES, REGISTRATIONS, CLEARANCE:

  • Must be eligible to obtain and maintain a DoD Secret security clearance if required by contract


PHYSICAL DEMANDS:

  • Must be able to sit at a workstation for extended periods; use hand(s) to handle or feel objects, tools, or controls; reach with hands and arms; talk and hear.
  • Most positions require ability to work on desktop or laptop computer for extended periods of time reading, reviewing/analyzing information, and providing recommendations, summaries and/or reports in written format.
  • May be required to occasionally lift and/or move moderate amounts of weight, typically less than 15 pounds.
