School of Nursing Job Description
Summary The Sinclair School of Nursing (SSON) is seeking a dedicated business and facilities support specialist to provide an array of administrative, fiscal, and operational support and building coordination. The person in this position will work independently as well as part of a team that supports the SSON faculty, staff, and students. We are looking for someone with the following characteristics, which complement our culture and work environment:
Responsibilities Perform a broad variety of administrative support duties including but not limited to collecting and distributing mail, accepting and distributing deliveries to the intended recipients, and updating information on the intranet such as office directories. Assist faculty and staff with travel and accommodations as needed including booking flights, conference registrations, rental cars, etc. Assist in records management. May perform backup duties within the office, or the duties of unit staff during periods of short staffing. Work with Shared Services to process financial transactions and perform related actions including but not limited to accounts receivable, accounts payable, and contracts to include paying bills, invoices, purchasing card reconciliation, fees, travel expense vouchers and reconciliation, and ordering supplies. Provide scheduling and logistics support. Review and accept room and common space reservation requests, including for class scheduling. Communicate regarding and coordinate conflicting requests. Serve as primary contact pertaining to university and departmental guidelines on acceptable use of facilities (facility use agreements, catering or food and beverages, post-event cleanup, room setup, etc.). Recommend procedures and policies. Serve as a facilities coordinator for SSON, assisting in the general upkeep and cleanliness of the school. Liaison with custodial team, campus facilities, and CSM (Campus Service and Maintenance). Submit work orders and follow up for completion or problem resolution. Ensure the building and doors are properly unlocked and then secured at close. Move partitions as needed. Communicate with faculty and staff regarding important building matters such as utility outages, maintenance, construction, road closings. Perform daily walk-throughs. Attend building coordinator meetings. Provide for the safety of the building and its occupants by assisting in the enforcement of SSON and University policies, and monitoring for potential safety/liability problems including emergency procedures (fire alarms, severe weather, etc.). Utilize Energy Management's Card Access application. Manage the assignment and collection of physical keys. Shift
Monday - Friday 8:00 a.m. to 5:00 p.m. with occasional evenings or weekends Minimum Qualifications
An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary Preferred Qualifications
Anticipated Hiring Range
$17.30 - $22.00 per hour Benefit Eligibility
